Cash Handling Policy

To ensure the prompt deposit, safekeeping, and proper accounting for all college funds, this policy describes procedures for the handling of cash and other funds received by college departments.  This policy applies to faculty and staff who receive funds relating to revenue, services rendered or donations made to the college.

All funds received by a college employee are required to be brought to the Bursar's office on a timely basis, usually the same day as received.  All funds brought to the Bursar's office must include a transmittal slip indicating the following:

  • organization number
  • general ledger account number
  • description of the transaction(s)

The Bursar's office is responsible for providing a receipt to aforementioned departments.  It is each department head's responsibility for providing safekeeping while funds are in their respective department.

A daily bank deposit is to be prepared by the Bursar's office and sent to the bank via armored carrier.
