Circulation | Interlibrary Loan | Reserves

Circulation Services

Becoming a Borrower.  Members of the Providence College community need to bring appropriate identification in order to register for library borrowing privileges. This means undergraduate students should bring their picture ID cards, other students should bring a receipt from their respective divisions, i. e. , a receipt from continuing education, the graduate office, etc.  Library users from other colleges belonging to the Higher Education Library Information Network (HELIN) need to bring their own college identification card in order to borrow materials from the Phillips Memorial Library.

Loan Policies.  Loan periods vary with the type of patron and the type of material being borrowed.
Library cards are coded to indicate the loan period for which each user is eligible. Most borrowers may have items for a 28 day period with the possibility of a revewal for an additional 28 days.

Retrieval Policies.  Recalls of items can occur after a period of two weeks if another patron needs the material. Missing books will be searched in the stacks for 3 to 6 months before reordering.  Users with Overdues are given a grace period of seven days. After this period, items automatically become overdue. After 60 days, material is then billed and the patron is charged $50 for each item. 

Sanction Policies.  After 60 days, overdue material becomes billed material. Patrons are billed $50 for each billed item and are sanctioned. Once sanctioned, the patron's HELIN privileges are suspended until the billed material is returned or replaced. Replacement charges are added to the user's account if material is not returned after the billing notice. For Providence College patrons, at the end of each semester, the library forwards all bills for graduating seniors to the treasurer's office. Students will need to return the materials before they can gain access to their transcripts. All library books can be returned to the circulation desk. The library accepts books from other HELIN schools and will return them to the proper school by way of our delivery system.

Interlibrary Loan Services

Nature of the Interlibrary Loan Service:  Requests require from one day to one month to fill, depending upon various factors. In most cases there is no charge to the patron.

Eligible Borrowers:  Any current Providence College student, faculty or staff who is a library borrower in good standing may request materials through interlibrary loan. Please check with the circulation department to become a library borrower.

Procedure for books:  Check the HELIN online catalog to see if the Phillips Memorial Library or any other HELIN library owns the title you need. If the material is available only at another HELIN library, press the "request" button at the top of the screen. Follow the on-screen instructions to activate a HELIN loan.

If no HELIN library owns the material, or if its status is anything other than "available," please use the electronic Book Request Form.  Fill out the form as completely as possible. We will notify you when the material arrives.

Procedure for periodical articles:  Check the HELIN online catalog to see if the Phillips Memorial Library owns the journal title and date you need.

If the library does not own the title or the date, please use the electronic Article Request Form.. Fill out the form as completely as possible. We will mail the article to you when it arrives, unless you instruct us otherwise.

Number of requests:  The interlibrary loan staff reserve the right to limit the number of requests that will be processed in one day. Please prioritize your requests.

Copyright:  The interlibrary loan staff will comply with federal and state laws, guidelines, and regulations pertaining to interlibrary loan, including the National Interlibrary Loan Code for the United States, 1993.  The Copyright Law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.

Reserve Services
Providence College Copyright Policy.  The federal Copyright Law (Title 17, United States Code, Section 101 and following) requires all members of the Providence  College community to respect the proprietary rights of owners of copyrights and to refrain from actions that constitute an infringement of copyright or other proprietary rights.  Willful disregard of Providence College ’s Copyright Policy by members of the community may result in personal liability in the event that legal action is taken against them.  Further, the College may refuse to defend employees named in a court suit and employees may be personally liable for any damages incurred as a result of the copyright violation.  Informative links  to web copyright sites are available.

For Faculty.  Print out and complete a  book form  or an article form and bring material to the Circulation Staff to be prepared for print or electronic reserve access. In addition to the material reserved by the professors for their students, high use items are placed on permanent reserve for the Providence College community.

For Students. Students access information about reserves through the HELIN catalog.  A link to reserves is available from the library front page.  Print copies of faculty reserves are available for examination for a period of two hours. This period can be renewed if no one else is waiting. Some professors arrange for a 3 or 7 day loan for selected items. Reserve fines are charged at the rate of $.25 per hour not to exceed $5.00. An overdue reminder is forwarded after 60 days.
