Important!
All supervisors must read the Employment Policies for Student Supervisors. All insitutional policies are listed with regards to required paperwork, web-time entry, termination, etc. It is also recommended that all supervisors keep a copy of the Student Supervisor Manual which will help you navigate the Providence College Career Site. It is important to remember that a student employee may not begin working until they have completed an online application and submitted all required paperwork to the Office of Financial Aid.
Supervisor Hiring Procedures:
1) Review your student employment budget and decide how many you may hire according to the budget formula and the department needs. The budget formula is provided within the Student Employment Budget .
2) Create a username and password for the Student Employment Careers Site if not already done at https://careers.providence.edu/hr . After receiving an email confirmation regarding your username and password, complete an online job posting, same internet address as creating user account (username and password). For instructions, regarding how to create a username/password refer to Student Supervisor Manual.
3) All student employees that are not rehires for your department/office will need to complete an online application. All summer student employees and Off-Campus Community Service student employees will need to complete an online application regardless. 4) Review online applicants and contact those you choose to interview. For instructions regarding reviewing online applicants please see the Student Supervisor Manual.
5) When you decide to hire a student, switch their student employment status to "Offer Made" or "Recommend for Hire". If you choose not to hire a student, switch student status to "Not Hired".
6) For the student(s) that are hired, instruct them to print off all required paperwork for their current employment status.
7) Notify the Office of Financial Aid (Student Employment) by email when ready to close and fill the online student employment job posting at pcwkstdy@providence.edu .
8) Determine student employees work schedules according to institutional policies regarding maximum hours worked (20 hours per week max when classes are in session, 35 hours max during breaks).
9) Instruct your student employees to log their hours of work by using the CyberFriar Webtime Entry. The student employees need to log in and out the same day as worked. For questions regarding this process, contact the Payroll Office 400 Harkins Hall .
10) Supervisors must verify student employee hours worked by CyberFriar Webtime Entry according to Pay Periods schedule. For questions regarding verifying student employee hours worked, contact the Payroll Office.
Highly Important!
Supervisors must change all online student applicant statuses to either "Offer Made", "Recommend for Hire", or "Not Hired". Job postings cannot be switched to filled until all student applicants statuses are changed, as above. Students will see the status of "Under Review By Department" until the posting is switched to filled. If you do not switch the statuses the students will not be aware that your posting is filled. Students need to be aware of their employment status within a reasonable time frame (no longer than 3 weeks). The students need to know if they need to continue looking for employment elsewhere.
