Changing Student Applicant Online Hiring Status
Highly Important:
Supervisors must change all online student applicant statuses to either "Offer Made", "Recommend for Hire", or "Not Hired". Job postings cannot be switched to filled until all student applicants statuses are changed, as above. Students will see the status of "Under Review By Department" up until the posting is switched to filled. Students will be able to see that the posting is filled once it is switched. If you do not switch the student statuses the students will not be aware that your posting is filled. Students need to be aware of their employment status within a reasonable time frame (no longer than 3 weeks). The students need to know if they need to continue looking for employment elsewhere.

Student Employment Student Flyer
A flyer for supervisors to distribute to their new student employee hires. This flyer provides the internet address to start applying online to student employee job postings and to print off required paperwork. Student Employment Flyer for Pre-Selected Hires Applying Online to a Hidden Job Posting
This flyer is only for student employees who were pre-selected for hire and are applying to an online hidden job posting. Both of the above conditions must exist in order to apply online according to the special directions provided within this flyer. For example, if both of these conditions do not exist, because the student is a pre-selected hire, but they are applying to a non-hidden job posting please refer to the Student Employment Student Flyer instead. Students applying who are not pre-selected hires will need to refer to the Student Employment Flyer as well.

Student Employment Supervisor Hiring Procedures
1) Review your student employment budget and decide how many you may hire according to the budget formula and the department needs. The budget formula is provided within the Student Employment Budget link towards the top of this web page.
2) Create a username and password for the Student Employment Careers Site if not already done at https://careers.providence.edu/hr . After receiving an email confirmation regarding your username and password, complete an online job posting, same internet address as creating user account (username and password). For instructions, regarding how to create a username/password refer to Student Supervisor Manual. To create a job posting refer to the Student Supervisor Manual and/or Quick Reference Guides above.
3) All student employees that are newly hired for your department/office (not academic year rehire) will need to complete an online application. All summer student employees and Off-Campus Community Service student employees will need to complete an online application regardless of academic year rehire or new status. Please direct all new student employment department/office hires, summer student employees, and Off-Campus Community Service student employees to complete an online application at the bottom of web page within the link below. http://www.providence.edu/Admission/Undergraduate+Financial+Aid/Student+Employment/
Unless the new student hires are pre-selected and are applying to a hidden job posting. In this case, please refer to the special directions within the link towards the top of this web page within the section: Student Employment Flyer for Pre-selected Hires Applying Online to a Hidden Job Posting.
4) Review online applicants and invite by email those you choose to interview. For instructions regarding reviewing online applicants please see Student Supervisor Manual link. For the student's preferred email address please see student online applications at https://careers.providence.edu/hr
5) If your department/office decides to hire a student; switch their student employment status to "Offer Made" or "Recommend for Hire". If you choose not to hire a student; switch student status to "Not Hired". For futher instruction refer to Student Supervisor Manual and/or the Quick Reference Guide link titled: Changing Student Applicant Online Hiring Status.
6) For those that you choose to hire, direct the student employees to print off Required Paperwork. To print off Required paperwork go to the right hand side of this page and towards the top you will see WITHIN THIS SECTION, Required Paperwork, and left mouse click. Student will need to click on the forms and print according to employment status of Brand New Hire, Resident Assistant or Orientation Leader (Academic Year Break Only), Changing Jobs, or Summer Hire.
A student employee may not begin working until they have completed an online student employment job application and completed/submitted Required Paperwork to the Office of Financial Aid.
7) Notify the Office of Financial Aid (Student Employment) by email when ready to close the online student employment job posting at pcwkstdy@providence.edu .
8) Determine student employee work schedule according to institutional policy regarding maximum hours worked. To review the policies, see the link at the top of this web page titled: Student Employment Policies for Student Supervisors .
9) Instruct your student employees to log in and out of work by CyberFriar Webtime Entry. The student employees need to log in and out the same day as worked. For questions regarding this process, contact the Payroll Office 400 Harkins Hall .
10) Supervisors must verify student employee hours worked by CyberFriar Webtime Entry according to Pay Periods schedule. This schedule is located within the right hand side of this web page, WITHIN THIS SECTION, and left mouse click on Pay Periods. For questions regarding verifying student employee hours worked, contact the Payroll Office.
